Worldwide locations migrating to Microsoft Teams Rooms

Background:

Our Client, a Global Energy Data Analytics company has over 30 office locations including Dubai, Brazil, US, Mexico, Canada, Singapore, Japan, China, Australia (Sydney, Brisbane, Perth), UK, Amsterdam, India and Germany. They reached out needing our help creating better communication and collaboration solutions.

Process

The client needed New Era to onboard a Cisco Video conferencing estate of circa 60 global endpoints registering to a hosted Pexip cloud infrastructure. The purpose of this first step was to mitigate a single point of failure risk and network bottleneck, as well as cutting expensive hosting and support costs.

During the initial phase of our collaboration, we successfully implemented significant enhancements in both benefits and services. This encompassed the establishment of a resilient and readily accessible video collaboration service in the cloud to facilitate seamless connectivity. Additionally, we enhanced call control features, ensuring interoperability with Microsoft Teams desktop clients, as Teams had been extensively deployed throughout the organisation.

Once Microsoft Teams was embedded across the end user population and widely used at desktop level with Cisco meeting rooms able to connect into Teams calls via the Pexip Cloud Video Interop service, New Era were asked to recommend what next in the interest of continual service improvements that could be made.

Further to discovery workshops detailing out the Must/Should/Could/Will Not Haves – New Era were able to help with design, installation and management of Microsoft Teams Rooms across the globe in a phased rollout.

The scope was to deliver simplicity; videoconferencing based on native Microsoft Teams Rooms, audio-visual and digital signage solutions to help each office collaborate and communicate better internally, as well as with customers worldwide.

Once commissioned and handed over to Business as usual (BAU) support, New Era continues to provide remote management, follow the sun ITIL Service desk support and monitoring for meeting rooms, ensuring seamless functionality.

Solution

New Eras approach to this, as always, is to understand the end user’s workflow and the customers wider business outcomes to envisage a more seamless meeting experience.

As part of each design, we determined the solution required in order to support and match the right technology to meet needs and business outcomes. We also consider physical environment; taking into consideration the room acoustics (DB ratings), recommended Lux light levels and where, in practice, the technology can be installed and to determent the most appropriate cameras. Furthermore, we look into screen sizes, ceiling or desk microphones, appropriate Audio output and best use of camera tracking technology which can be on/off subject to end user preference.

Conclusion:
